Project Support Officer for Data Centre Exit Programme

Role Overview:

We are seeking a proactive and detail-oriented Project Support Officer to join our team within the Chief Technology & Design Office.

Key Responsibilities:

Finance Management

  • Monitor and track project budgets, forecasts, and actuals.
  • Support financial reporting and analysis for programme and project reviews.
  • Assist in the preparation of business cases and financial submissions.
  • Liaise with finance teams to ensure accurate coding, invoicing, and reconciliation.
  • Maintain financial records and documentation in line with audit requirements.

Procurement & Supplier Management

  • Coordinate procurement activities for project resources, including hardware, software, and services.
  • Raise Commercial Commissioning Requests (CCRs), Statement of Works (SOWs), purchase orders and manage procurement workflows in line with organisational policies.
  • Liaise with suppliers to obtain quotes, manage delivery timelines, and resolve issues.
  • Ensure compliance with procurement regulations and internal governance.
  • Support contract management and maintain supplier records.

Project Support

  • Provide administrative and logistical support to project teams.
  • Maintain project documentation, trackers, and registers (e.g., risk, issues, actions).
  • Support project governance activities including meeting coordination and minute taking.
  • Assist with onboarding of project resources and coordination of training needs.

Essential Skills & Experience:

  • Experience in project support, finance administration, or procurement coordination.
  • Strong understanding of financial processes and budget management.
  • Familiarity with procurement procedures and supplier engagement.
  • Excellent organisational and communication skills.
  • Proficiency in Microsoft Office tools, especially Excel and SharePoint.
  • Ability to work collaboratively across teams and manage multiple priorities.

Desirable Qualifications:

  • APM, PRINCE2, or similar project management certification.
  • Experience using financial and procurement systems (e.g., Oracle, SAP).
  • Knowledge of public sector procurement frameworks.
